How to make an IEP tracker in Google Sheets
An IEP tracker in Google Sheets works best in two parts. A caseload part lists each student once with their last annual IEP and evaluation dates and counts down to the next due dates. A goal part logs data points for each goal and calculates averages and progress to target. Link both by student ID so one roster drives everything.
The tabs and columns to set up
| Tab | Columns |
|---|---|
| Roster | Student ID or initials, grade, case manager, last annual IEP date, last evaluation date |
| Due dates | Annual due, re-evaluation due, days left, color status |
| Goals | Goal ID, student, area, baseline, target |
| Data log | Date, goal ID, score, notes |
| Summary | Per goal: recent average, progress to target, on track or behind |
Step by step
- Start with one roster. Enter each student once. Every other tab picks students from this list with Data > Data validation.
- Add due-date formulas. Use =EDATE() to add 12 months to the last IEP date and 36 months to the last evaluation, and =due-TODAY() for days left.
- Color-code deadlines. Conditional formatting on days left: overdue, under 30 days, under 60 days.
- Add goals with IDs. One row per goal with a short ID, baseline and target.
- Log goal data. One row per data point with the goal ID, so you can add data in any order.
- Summarize progress. Use AVERAGEIFS or FILTER by goal ID to show recent averages and progress from baseline to target.

Frequently asked questions
What should an IEP tracker track?
Most case managers need due dates for annual reviews and re-evaluations plus goal data. Services and accommodations can be added as more tabs.
Is Google Sheets good for IEP tracking?
Yes, for planning. It updates countdowns automatically with TODAY() and works in any browser. Keep the district IEP system as the official record.
Should due dates and goal data be in one file?
They can be separate files linked by student ID. Separate files stay simpler and faster, while one roster keeps names consistent.
How do I keep student data private?
Use initials or IDs, share only with people who need it, and follow district procedures.
Does it work in Excel too?
The same formulas (EDATE, TODAY, AVERAGEIFS) work in Microsoft Excel.
Is there a ready-made IEP tracker?
Yes. The Fieldwork IEP Tracker Bundle includes the Caseload & Due Dates tracker and the Goal Progress tracker for Google Sheets ($13.99 on Etsy, $16.98 separately).
