How to track IEP service minutes in Google Sheets

Use three tabs: a roster with each student's required minutes per service (per week or per month, copied from the IEP), a session log where you add one row per session, and a dashboard that uses SUMIFS to total delivered minutes and subtract them from required minutes. Mark every session Delivered, Missed or Makeup so you can see the minutes still owed at a glance.

The tabs and columns to set up

TabColumns
RosterStudent (initials or ID), service, provider, required minutes, per week or per month
Session logDate, student, service, minutes, provider, status (Delivered / Missed / Makeup), notes
DashboardStudent, service, required, delivered, makeup, % done, minutes owed, status (Met / Close / Behind)
SettingsSchool year dates, the week or month being reported, service and provider lists

Step by step

  1. Build the roster. Add one row per student per required service, with the minutes and whether they are per week or per month, copied from the current IEP.
  2. Make dropdowns. Use Data > Data validation so student, service, provider and status are picked from lists. Consistent spelling is what makes the totals work.
  3. Log every session. Add one row per session as it happens: date, student, service, minutes and status. Log missed sessions too, with 0 delivered minutes, so you can schedule makeups.
  4. Total the minutes. On the dashboard, sum delivered minutes with a formula such as =SUMIFS(Log!D:D, Log!B:B, A2, Log!C:C, B2, Log!F:F, "Delivered"), with the date range for the week or month added as extra conditions.
  5. Show what is owed. Minutes owed = required minus delivered minus makeup. Use conditional formatting to color each row Met, Close or Behind.
  6. Convert weekly and monthly. If a service is written per month and you report per week (or the reverse), convert with a weeks-per-month number you choose and keep it in Settings.

If you would rather not build the formulas yourself, this is the template we make for exactly this job:

IEP Service Minutes Tracker (Google Sheets)

Log each session once. Six tabs add up required vs delivered minutes for every student and service, show minutes still owed, and track missed sessions and makeups.

Frequently asked questions

What columns does an IEP service minutes log need?

At minimum: date, student, service, minutes, provider and status (Delivered, Missed or Makeup), plus a notes column. Keep required minutes on a separate roster tab so the log stays one row per session.

How do I total service minutes per student in Google Sheets?

Use SUMIFS on the session log, matching the student, the service, the status "Delivered" and the date range. Put the formula on a dashboard row for each student and service.

How should I track missed and makeup sessions?

Log missed sessions as their own rows with the status Missed, and log makeups with the status Makeup. Then minutes owed is required minus delivered minus makeup minutes.

Should I use student names in the sheet?

Use initials or student IDs and follow your district's privacy procedures, especially if the file is shared.

Is a spreadsheet log an official service record?

No. A spreadsheet like this is a planning and coordination aid. It does not replace the IEP, provider records, Medicaid documentation or your district's systems.

Is there a ready-made template?

Yes. The Fieldwork IEP Service Minutes Tracker is a Google Sheets file with a roster, session log, dashboard, missed and makeup tracker and settings already built ($5.99 on Etsy).
